Education/Experience Qualifications:

  • High School diploma/GED and formal training or sufficient work experience in general office setting required.

  •  Ability to be detail oriented in producing quality work in a manner which meets professional standards.

  • Willingness to use and learn a variety of software programs and computer equipment.

  • Ability to accept job tasks as assigned by Management Staff.

  • Be able to work with priority scheduling, and possess the ability to be a self-starter who can work independently, as necessary, without assistance from immediate supervisor and continue uninterrupted daily flow of work.

Duties and Responsibilities:

  • In conjunction with the agency payroll specialist, collect and process time sheets in a timely manner with detailed accuracy as to correctness of hours, pay rates, department coding, and ensure all time sheets are signed by his/her supervisor with back-up documentation as to absences or leave taken.

  • In conjunction with the agency payroll specialist, help acquire insurance paperwork from eligible new hires.

  • Track and notify Supervisors on a regular basis of employee Leave without Pay.

  • Process mass and partial unemployment claims to the Department of Labor as soon as possible upon center closing and as needed during the school year.

  • Follow up on SIDES E-Response - Separation Information (SI) for Department of Labor as needed.

  • Assist Human Resources Manager with HR administrative duties.

  • Assist with data entry and filing as needed. 

  • Assist in completion of Licensing Evaluation Packets and related issues.

  • Assist with New Staff Orientation, Pre-Services, and In-Services as needed.

  • Make Head Start/Early Head Start staff ID Badges.

  • Receive, sort and file field staff timesheets and sign in/out logs.

  • Ensure that all staff submit a time sheet each pay period.

  • Receive Personal Injury Forms from personnel and forward to agency Workers’ Compensation specialist.

  • Receive Child Accident Reports and submit claim paperwork to HSR. For child accidents resulting in medical treatment, receive Serious Injury Incident Report within 1 calendar day from center learning of treatment. Keep Serious Injury Incident Reports on file and submit them to Child Care Licensing within same calendar day.

  • Conduct job with professionalism including: attendance, confidentiality, program support, and maintaining a positive work attitude.

  • Maintain a work area that is neat, clean, organized, and conducive to working conditions.

  • To assume related duties as assigned by the director.

 

 

Hours and Benefits: full-time, 37.5 hours a week Full Year; Non-Exempt.
